AI agent for hotels and guesthouses

Every booking enquiry answered. In seconds, in the guest's language.

While the front desk checks guests in, enquiries keep coming by email, chat and phone. An agent answers them from your own rules, takes booking requests in full and sends guests to your direct booking link, not to a portal.

In short

An AI agent for a hotel answers booking enquiries and guest questions around the clock, in the guest's language, using only your own rates, rules and availability. It prepares complete booking requests, sends guests your direct booking link and passes groups, complaints and refunds to your team. Bonsay builds it into your existing systems: a two-week audit from €5k, a pilot two to four weeks later, and you own everything.

The situation

Every slow answer is a booking a portal can take

Direct bookings are still the largest channel in Europe and the most reliable one, but their share keeps shrinking while online travel agencies grow.

  • 51.3%of hotel room bookings in Europe are direct, down from 57.6% a little over a decade agoHOTREC European Hotel Distribution Study 2026
  • 29.9%go through online travel agencies, 68.8% of those through Booking HoldingsHOTREC European Hotel Distribution Study 2026
  • 9.1%cancellation rate for bookings made on the hotel's own website, against 19.0% via Booking.comHOTREC European Hotel Distribution Study 2026

Where it pinches

What the front desk tells us

None of this is about effort. It is about enquiries arriving at the moments people are busy.

  • Calls and emails arrive exactly during check-in, check-out and shift change, so they wait or go to voicemail.
  • Parking, breakfast, late arrival, pets, cancellation terms: the same questions, every day, by hand.
  • Guests write in languages the night shift does not speak.
  • A guest who waits too long for an answer often books the same room through a portal, and you pay commission.
  • Trade fairs, holidays and events bring peaks that no roster fully covers.

What the agent handles

The routine, so your team keeps the guests

  • Booking requests, complete

Dates, room type, guests and contact details collected and read back, then passed to the front desk or created in your booking system through its API.

  • Guest questions from your own rules

Answers from your website, house rules and price list, and only from them. If the answer is not there, it says so and hands over.

  • In the guest's language

Replies in the language the guest writes in, so the night shift is not the limit.

  • Back to your direct channel

Sends the guest your direct booking or payment link from your booking engine instead of losing them to a portal.

  • Changes and cancellations routed

Explains your terms and passes change, cancellation and refund requests to the right person with a summary.

  • A person where it matters

Groups, complaints, refunds and anything unusual go to your team. You decide the rules for what needs approval.

How it works

From enquiry to booking request in five steps

The agent never confirms anything your rules do not allow. Your team decides; the agent prepares.

What we connect

Your systems, not a new one

We start from what you already run. Which connections are possible, we confirm in the audit, before any build.

  • Your booking engine or PMS, where it offers an open API (we check this in the audit)
  • The reservations inbox (Microsoft 365 or Google Workspace)
  • The chat on your website
  • WhatsApp Business
  • Your CRM or guest database
  • Phone, for routine calls with a clean hand-over to the front desk

Time, price and data

Fixed scope before we build

A two-week process and data audit from €5k, a working pilot two to four weeks later, and a fixed price for the build agreed before it starts.

When it is not a fit

  • You receive a handful of enquiries a week. A good template and a shared inbox will do.
  • Most requests are custom group events or weddings that need a conversation anyway.
  • Your booking system has no API and no one can export data from it. We will tell you in the audit.

GDPR and the EU AI Act

  • Bonsay Technologies OÜ is an EU company. You sign an EU contract and a data processing agreement (DPA).
  • Card details stay in your booking engine. The agent does not collect them.
  • Guest data is processed where you need it, including EU-only hosting and models.
  • Under the EU AI Act (Art. 50), an AI that talks to people must say it is an AI from 2 August 2026. The agent says so in its greeting.

FAQ

Questions hotels ask first

How much does an AI agent for a hotel cost?

Work starts with a two-week process and data audit from €5k. It shows which enquiries are worth automating, what your systems allow and what the build will cost, as a fixed price agreed before anything is built.

How long does it take?

Two weeks for the audit, then a working pilot in your environment two to four weeks later. We measure response time and direct bookings against the weeks before.

Does it work with our PMS or booking engine, for example Mews, Apaleo or protel?

If your system offers an open API, the agent can read availability and prepare bookings in it. If not, booking requests reach the front desk by email or CRM. We check your exact setup in the audit.

Does the agent take credit card details?

No. Payment stays in your booking engine; the agent sends the guest your payment or direct booking link.

What happens when the agent cannot answer?

It says so, collects the guest's details and passes the conversation to your team with a summary. You decide which topics always go to a person, such as groups, complaints and refunds.

Do you work with hotels in Germany, Poland, the Nordics, the Netherlands and the UK?

Yes. We are an EU company based in Tallinn and work remotely across Europe in English. The agent itself replies in the language your guests write in.

Next step

How many enquiries does your front desk answer by hand?

Book 30 minutes. We look at your channels, volumes and booking system, and tell you honestly whether an agent pays back.

  • Review of your enquiry channels
  • Fixed scope and price before any build
  • You own everything we build
